Terms of Service

These Terms of Service apply to your use of Commandology, the customer-facing name for bespoke AI Executive Assistant and business support services operated by Newbury Oak Limited. By accessing or using Commandology, you agree to these terms.

The service

Commandology provides bespoke AI Executive Assistant services designed to help businesses with administrative, customer, scheduling, email, file, research, social media, quote, invoice and follow-up work. The exact features available to you may depend on your subscription, onboarding, connected services, permissions, business requirements and provider approvals.

Commandology may provide drafts, summaries, reminders, suggested replies, organised records, research notes, scheduling support, document preparation and other business support outputs. You remain responsible for reviewing and approving important actions, decisions, commitments and communications.

Accounts and authorised users

You are responsible for ensuring that only authorised people use your Commandology account or workspace. You must keep login details secure and tell us promptly if you believe your account, connected services or data have been accessed without permission.

You are responsible for making sure that anyone you allow to use Commandology on your behalf follows these terms.

Connected services

Some features require you to connect third-party services such as email, calendars, file storage, messaging tools, social media accounts, CRM systems or accounting tools. You decide which supported services to connect and what permissions to approve.

You must only connect accounts and data that you have the right to use. You must not connect a third-party account unless you are authorised to grant access to it.

We do not ask for raw passwords where provider-approved connection methods such as OAuth are available. You can revoke provider access through the relevant provider account or by contacting us where Commandology-side removal is needed.

Third-party services are governed by their own terms and privacy policies. We are not responsible for outages, changes, restrictions, reviews, pricing, data handling or decisions made by those third-party providers.

AI outputs and human review

Commandology uses AI systems and automation to provide the service. AI outputs can be incomplete, inaccurate, delayed or unsuitable for a particular purpose. You should review outputs before relying on them, especially where a message, document, promise, price, payment, public post, legal issue, HR matter, tax matter, safety issue or important business decision is involved.

Commandology is designed to help with business workflows, but it is not a substitute for professional legal, financial, tax, medical, insurance, HR or regulatory advice. You are responsible for obtaining professional advice where appropriate.

Approvals and authority

You are responsible for deciding what Commandology is authorised to do for your business. Sensitive or consequential actions may require your approval. These can include sending external messages, posting publicly, making commitments, agreeing prices, issuing refunds, making payments, deleting important records, contacting third parties, or making promises on your behalf.

Where you give standing approval for a category of work, you are responsible for ensuring that approval remains appropriate. You can change or withdraw approvals by contacting us or using any available account controls.

Your responsibilities

You agree to provide accurate information during onboarding and while using the service. You agree not to use Commandology for unlawful, harmful, misleading, abusive, discriminatory, infringing or fraudulent purposes.

You must not use Commandology to send spam, deceive people, impersonate others, harvest data unlawfully, bypass security controls, upload malware, violate third-party rights, or process data you are not entitled to use.

Customer data

You retain responsibility for the business data, customer data, content, instructions, files and connected-account data you provide or make available to Commandology. You confirm that you have the necessary rights and permissions to provide that data to us for the purpose of delivering the service.

Our handling of personal data is described in our Privacy Policy.

Payment and subscriptions

Paid services are charged according to the pricing, subscription, invoice or order terms agreed with you. Unless agreed otherwise, subscription fees are payable in advance and continue until cancelled.

You are responsible for paying all fees, taxes and charges associated with your use of the service. If payment is overdue, we may suspend or limit the service until payment is made.

Any refunds, credits, trial periods, discounts or cancellation terms will be handled according to the written terms agreed with you or required by law.

Service changes and availability

We may update, improve, add, remove, suspend or change features from time to time. We aim to provide a reliable service, but we do not guarantee that Commandology will be uninterrupted, error-free or available at all times.

Some features may depend on third-party provider access, app reviews, API limits, model availability, account permissions, customer setup steps or technical integrations.

Confidentiality

We will take reasonable care to protect confidential business information you provide to us. You agree to take reasonable care to protect confidential information we provide to you, including non-public product, pricing, technical, security or operational information.

Intellectual property

Newbury Oak Limited and its licensors own the Commandology brand, website, software, workflows, prompts, designs, documentation, processes and other service materials. You may not copy, reverse engineer, resell, sublicense or misuse them except as allowed by these terms or agreed in writing.

You retain ownership of your business content and customer data. Subject to our Privacy Policy and these terms, you allow us to use that content and data as needed to provide, secure, support and improve the service.

Suspension and termination

We may suspend or terminate access to Commandology if you breach these terms, fail to pay fees, misuse the service, create security or legal risk, or if continued service would be unlawful or impractical.

You may stop using the service or request cancellation according to your agreed subscription terms. On cancellation or termination, we may retain or delete data according to our Privacy Policy, legal obligations, accounting requirements, security needs and operational backup processes.

Disclaimers

Commandology is provided with reasonable skill and care, but it is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, we do not guarantee that the service will meet every requirement, produce perfect outputs, prevent every missed message, or be free from errors, interruptions or security incidents.

Liability

Nothing in these terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

To the fullest extent permitted by law, Newbury Oak Limited will not be liable for indirect, consequential or special losses, loss of profit, loss of revenue, loss of goodwill, loss of opportunity, business interruption, loss or corruption of data, or losses caused by your instructions, connected services, third-party providers, or your failure to review important outputs.

Where liability cannot be excluded, our total liability will be limited to the amount you paid for the Commandology service in the three months before the event giving rise to the claim, unless a different limit is agreed in writing or required by law.

Changes to these terms

We may update these terms from time to time. If we make material changes, we will take reasonable steps to notify active customers. The updated terms will apply from the date shown at the top of this page or from any later date we specify.

Governing law

These terms are governed by the laws of England and Wales. The courts of England and Wales will have exclusive jurisdiction, except where applicable law gives you mandatory rights to bring a claim elsewhere.
